Planning Virtual Academic Events

Virtual academic events have become an established part of scholarly communication. They provide researchers with opportunities to present new work, exchange ideas, and connect across regions without the financial and logistical barriers associated with travel. As these formats continue to grow in popularity, organisers are recognising that successful virtual events require careful planning. Technology is important, but the overall experience depends equally on programme design, communication, accessibility, and participant support.

This article outlines practical considerations for organising a virtual academic event and explains how Sciforum can assist organisers throughout the process.

Understanding virtual events

Virtual events can take several forms, including webinars, workshops, panel discussions, symposia, and digital poster sessions. Their flexibility allows participants to join from almost any location, making them more inclusive for researchers who face travel restrictions or limited funding. This accessibility is one of the strongest advantages of online formats.

There are, however, challenges that organisers must consider. A platform needs to function reliably across different devices and internet conditions. Participants may join from various time zones, which can complicate scheduling. Clear instructions and straightforward navigation help reduce confusion and support a smooth experience for attendees.

Programme structure also plays a significant role. Long online sessions can be difficult to follow, and attention may decrease more quickly than in a physical setting. Shorter presentations, varied formats, and opportunities for interaction can help maintain engagement. A combination of live talks, recorded presentations, Q&A sessions, and digital posters allows participants to engage with content in different ways and at their own pace.

Key considerations for virtual event planning

Planning should begin with a clear set of objectives. An organiser may want to highlight new research, encourage interdisciplinary discussion, support early‑career researchers, or create structured networking opportunities. These aims should guide decisions about the programme, speaker selection, and session formats.

Understanding the intended audience is equally important. Organisers should consider participants’ academic backgrounds, career stages, locations, and familiarity with online academic events. This information helps determine the appropriate level of technical support, the timing of sessions, and the types of activities that will be most effective.

Once the audience and aims are defined, organisers can select formats that genuinely support the event’s purpose. A focused and purposeful programme is often more effective than one that attempts to include every possible feature.

Accessibility should be integrated from the beginning. Captions, transcripts, downloadable materials, and recorded sessions help ensure that content is available to a wider audience. These measures are particularly useful for international participants and for those who cannot attend every session live. They also support researchers who prefer to revisit content after the event.

Beyond the programme itself, organisers also need to manage submissions, registrations, and event information. These tasks become more complex as participation scales.

How Sciforum supports virtual event organisation

Sciforum provides a central set of tools designed to support virtual and in‑person academic events. Organisers can create event pages, manage submissions and registrations, and share programme information without relying on multiple separate systems.

Event pages can be customised to include programme details, speaker information, and descriptions of individual sessions. Registration features help streamline communication by sending confirmations and reminders to participants.

A distinctive capability of Sciforum for virtual events is its online poster gallery. Digital posters give participants a way to explore research outside scheduled sessions and extend visibility beyond the live programme. This format is particularly valuable in virtual settings, where attendees often engage asynchronously.

Sciforum also includes content visibility controls and a digital content repository. While these features also support in‑person events, they address specific challenges of virtual formats. For example, digital content is more easily leaked or shared unintentionally, so visibility controls help ensure that only registered attendees can access presentations, posters, and recordings.

Additionally, content can be difficult to retrieve or organise after a livestream ends. Sciforum’s repository keeps all materials accessible in one place, allowing participants to revisit sessions and organisers to maintain a complete event archive.

Together, these tools help organisers manage the unique demands of online academic events while maintaining a secure and structured environment for digital content. Explore Sciforums new features in more detail.

Practical recommendations for virtual events

Use these practical recommendations when planning your virtual event, customising each section to your own needs:

Accessibility measures – Provide captions, transcripts, and downloadable resources wherever possible. Keep instructions clear and avoid unnecessary technical complexity. Read more about designing accessible events.

Speaker preparation – Offer guidance on presentation length and encourage interaction through Q&A, polls, or discussion sessions. Consider including structured networking opportunities.

Clear communication – Send information at useful intervals before the event rather than relying on a single set of instructions. Speakers should know in advance what is expected of them and how sessions will operate.

Technical testing – Test presentations, recordings, links, and livestreams before the conference. Provide speakers with a simple technical checklist and use recorded presentations as a backup if issues arise.

Supporting the participant experience

Virtual events require the same academic planning as in‑person events, but they also introduce practical considerations related to technology, accessibility, and online engagement. A clear purpose, a well‑structured programme, a reliable platform, and consistent communication can significantly improve the participant experience.

Sciforum meets these requirements by integrating event management, registration, submissions, programme information, and digital content. With thoughtful planning and Sciforum’s content management capabilities, organisers can create virtual events that are accessible, useful, and relevant to a broad academic community.
