Conditions for Submission
🔒 Security Notice
Please note that all official conference emails will be sent exclusively from the @mdpi.com and info@scifourm.net domain.
Please do not respond to any suspicious emails or share personal or financial information through unverified channels.

Important Deadline
1. Deadline for abstract submission: 1 February 2027.
2. Notification of Presentation Format (Oral/Poster): 1 March 2027.
3.
Covering Author Registration deadline: 8 March 2027.

Submission Conditions

1. WSF-13 will accept abstracts only. You are not required to submit full paper before the forum. The accepted abstracts will be available online on Sciforum.net during and after the conference.
2. WSF-13 is an in-person conference. Online participation is not available.
3. Please note that abstract submission and conference registration are two separate processes.
4. Please use your institutional email address for both processes.

Please note:
An abstract acceptance email only confirms that your abstract has been accepted. However, the conference chairs decide separately whether your presentation will be oral or a poster, and you will receive another email with the result.
Abstract Submission
Abstract submissions should be completed online by registering with Sciforum and using the "Submit Abstract" function once logged into the system. No physical template is necessary.

1. Choose a session that is best suited for your research.
2. The abstract structure should include the introduction, methods, results, and conclusions sections of about 200–300 words in length.
3. All abstracts should be submitted and presented in clear, publication-ready English with accurate grammar and spelling.
4. Each registration allows submission of only one abstract. However, an author may be listed on multiple abstracts, provided that each abstract has a different registered presenter.
5. All abstracts accepted for presentation will be collected in a book of abstracts, which will be displayed on the website during the conference. If you do not want your abstract to be included in the book of abstracts, please let us know beforehand.
6. Upon submission, you can select if you wish to be considered for oral or poster presentation (or both). Following assessment by the Chairs and Scientific Committee, you will be notified by 1 March 2027 whether your contribution has been accepted for oral or poster presentation.
7. Please note that, in order to finalize the scientific program in due time, at least one registration by any of the authors, denoted as the Covering Author, is required to cover the presentation and publication of any accepted abstract. Your abstract will be withdrawn if your registration is not complete by this date.

Note: We only accept live presentations, no pre-recorded presentations.

Oral Presentation and Slides Submission
The slot for the oral presentation is 15 mins. We advise that your presentation lasts for a maximum of 12 mins, leaving at least 3 mins for the Q&A session.

Each presentation should:
  • Communicate the research question or objective, methodology, key results, and scientific novelty;
  • Use a clear and logical structure, typically the Introduction–Methods–Results and Discussion structure (IMRaD) or a field-appropriate alternative;
  • Emphasize the relevance of the work;
  • Support key findings with clear figures or tables where appropriate;
  • Conclude with a critical interpretation of the results and their impact.
Note: All presentations must be delivered in English.
Poster Presentation

Posters will be displayed in portrait orientation on designated poster boards.

• Maximum size: A0 (84 × 120 cm / 33 × 47 in) (in vertical orientation).
• Posters must include: title, authors, affiliations, and contact information.
• Provide a structured overview of the research, including the objective, a concise description of the methodology, the main results supported by clear and well-labeled figures or tables where appropriate, and a brief conclusion highlighting the key findings and their relevance.
• Authors are responsible for printing their posters prior to the conference.

The poster template can be downloaded here.

Registration

Abstract submission and conference registration are separate processes. Please ensure that the same email address is used for both abstract submission and event registration.

At least one author (the
Covering Author) must register to ensure inclusion of the presentation and publication of the accepted abstract. Failure to complete registration by the Covering Author by the deadline will result in withdrawal of the abstract from the scientific program.

Note: The Conference Organizing Team reserves the right to review, limit, suspend, or decline registrations and participation wherein activity is determined to be excessive, non-targeted, inconsistent with the intended scientific participation model of the conference portfolio, or disruptive to conference relevance, attendee experience, moderation capacity, or operational integrity. We kindly ask participants to register only for events relevant to their field of expertise.

Withdrawal Policy

Any request concerning abstract or proceedings paper withdrawal should be communicated to the Conference Organizing Team as early as possible, preferably prior to final acceptance and confirmation of the conference program. Please note that once abstracts are published in the Conference Report or once Proceedings papers are published in the Proceedings journal and assigned a DOI, they become part of the permanent scholarly record and cannot be fully removed.

AI policy

All listed authors must have made substantial contributions to the work, participated in drafting or critically revising the abstract, and approved the final version. The submitting (presenting) author is responsible for ensuring that all co-authors have reviewed and approved the submission, including its content and authorship order.

Requests for changes to authorship (including the addition, removal, or reordering of authors) after submission must be submitted using a signed Authorship Change Form, with written consent from all affected authors. Such requests are subject to review and approval by the Conference Organizing Team.

All authors share collective responsibility for the accuracy, integrity, and ethical compliance of the submitted work.

Potential Conflicts of Interest

Authors must disclose any financial, professional, or personal relationships that could reasonably be perceived as influencing the integrity, interpretation, or presentation of their work. Failure to provide accurate disclosures may result in the removal of the abstract from the conference program and associated publications.

If there is no conflict, please state "The authors declare no conflicts of interest". The declaration should be provided through the designated Sciforum submission field or other conference-specified mechanism. Any financial support for the study must be fully disclosed in the "Acknowledgments" section.
